Privacy Policy

This Policy explains how Faldex Financial LLC handles information on fdxcrm.com and in the Faldex CRM platform. Faldex CRM is a software product of Faldex Financial LLC. It is not insurance, and using this site does not make you a client of the insurance agency.

Faldex CRM is pre-launch

The platform is not yet in production use. Today this site collects only what you send us in a demo request. The sections below describing account data and client records in the platform apply once the product is live and you have an account.

Two kinds of information

This is the most important part of this Policy, because a CRM holds two very different things and they are not treated the same way.

  • Information about you. What you send us when you request a demo, and, once the product is live, your account and billing details and how you use the platform. We decide how this is used, and this Policy governs it.
  • Client records you put into Faldex CRM. The contacts, notes, call history, documents and other records your agency loads into the system about its own clients and prospects. We call this Customer Data. Your agency decides what happens to it. We only act on your instructions. We are the service provider, not the owner, and this Policy does not give us rights over it.

Information we collect about you

Information you give us

When you request a demo we collect your name, your agency name, your email address, your phone number, your team size, and anything you choose to write in the message box. When you contact us by email or phone we keep that correspondence.

Account information, once the product is live

If you open an account we will collect the details needed to create and run it: the account holder's name and contact details, the users your agency adds, their roles and access, agency details such as licence numbers where you choose to store them, and billing contact details. Card numbers are handled by a payment processor and are not stored by us.

Information collected automatically

When you visit this site or use the platform we may collect technical and usage information such as your IP address, browser and device type, pages and screens viewed, and the actions you take, to keep the service running, secure and diagnosable.

How we use it

  • To respond to your demo request and arrange the call.
  • To provide, operate, support, secure and improve the platform.
  • To contact you about your account, the service, changes to it, and support matters.
  • To contact you about Faldex CRM, including by phone, text and email, in line with the consent you give us. See Calls, texts and email.
  • To take payment and keep the records a business has to keep.
  • To meet our legal obligations, enforce our terms, and protect the service and its users against fraud, abuse and security threats.

How we share it

We share information only where it is needed to run the service:

  • Service providers who work on our behalf, such as hosting, form handling, email delivery, telephony, payment processing, error monitoring and support tools, under obligations to protect the information and use it only for us.
  • Legal and safety, when required by law, regulation or legal process, or to protect rights, property or safety.
  • Business transfers, if our business is involved in a merger, acquisition or sale of assets. Any successor would be bound by this Policy for information transferred with it.

We do not sell personal information, and we do not share it with advertisers or lead buyers. We do not send your information, or your clients' records, to insurance carriers, to an upline, or to licensing and contracting services. Those are things the Faldex Financial insurance agency does in its own business, and they have nothing to do with this software.

Client records you put into Faldex CRM

When your agency loads client and prospect records into Faldex CRM, your agency stays responsible for them and decides how they are used. Our commitments:

  • We use Customer Data only to provide and support the service to you, and only on your instructions.
  • We do not sell Customer Data, and we do not use it to market anything to your clients. Your book is not a lead source for us or for anyone else.
  • We do not use Customer Data to train artificial intelligence or machine learning models, other than features that operate on your own data for you, inside your own account, where you have turned them on.
  • Access by our staff is limited to what is needed to run the service, fix a fault or answer a support request from you.
  • Service providers who handle Customer Data on our behalf are bound to protect it and to use it only to provide the service.
  • You can export your data. When your account ends you may export it within the window set out in the Terms of Use, after which we delete or de-identify it, except where the law requires us to keep it or it sits in routine backups, which age out on their normal cycle.

Getting consent, honouring opt-outs, keeping records accurate and meeting the rules that apply to your clients' information are your agency's responsibility. Faldex CRM is the tool, not the compliance department.

Calls, texts and email sent through the platform

Faldex CRM is being built to place calls and send messages and email. Two separate things follow from that.

When we contact you

When you give us your phone number and consent, you agree that Faldex Financial and those acting on its behalf may contact you at that number about Faldex CRM, including by automated technology, prerecorded or artificial voice, and SMS or MMS. Consent is not a condition of purchase. Message and data rates may apply. You can opt out of texts at any time by replying STOP, and you can ask us to stop calling at any time. We honour federal and state Do Not Call rules, and if you ask to go on our internal Do Not Call list we will stop marketing calls to your number.

When you contact your clients

Calls, texts and email you send through Faldex CRM are yours, not ours. You are the caller and the sender. Consent, Do Not Call screening, calling hours, opt-out handling, identification requirements and message content are your responsibility, and so is keeping the records that prove it. We process these communications to deliver them and to show them back to you in the contact's history.

Cookies and tracking

This site runs no advertising or analytics trackers. It sets no advertising cookies, and there is no Google Analytics, Google Ads or Meta Pixel on it. The platform itself uses cookies and similar technologies that are needed to sign you in, keep you signed in and keep the service secure, plus limited measurement of how the product is used so we can improve it. If we ever add analytics or advertising technology, we will update this section before we do.

How long we keep information

Demo requests and correspondence are kept for as long as needed to follow up and to keep a record of the enquiry and of your consent. Account and billing records are kept for as long as the account is open and then for the period the law and our own recordkeeping obligations require. Customer Data is kept for as long as your account is open, and then handled as described above.

How we protect information

Faldex CRM is being built with each agency's data separated by access rules enforced in the database itself, not only in application code, with authorization also enforced on the server, and with roles and access scopes that the agency controls. We use reasonable administrative, technical and physical safeguards.

What we do not claim

We do not hold SOC 2, HIPAA status or any other compliance certification, and we have not completed an independent security audit. We will not say otherwise until one has actually been done. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If your agency needs a security review before adopting a platform, ask us and you will get a straight answer about where the build stands.

Your choices and rights

You can ask us to access, correct or delete personal information we hold about you, and you can opt out of marketing contact at any time. Depending on where you live, you may have additional rights, including the right to know what we collect, to request deletion or correction, to opt out of certain uses, and to appeal a refusal. We will not treat you differently for exercising them. To make a request, contact us using the details below. We may need to verify who you are before we act.

If your information is in an agency's Faldex CRM account because you are one of their clients or prospects, that agency decides what happens to it, and your request should go to them. If you contact us instead we will pass the request to them and assist them in answering it, but we will not change or delete their records on our own initiative.

Insurance data security laws

Most of our customers are insurance licensees. As of August 2025, twenty-eight states and jurisdictions had adopted a version of the National Association of Insurance Commissioners Insurance Data Security Model Law, which requires licensees to run an information security program, to investigate and report cybersecurity events, and to exercise due diligence over their third-party service providers. Smaller licensees are exempt from parts of it in many states.

If you are subject to those rules, Faldex CRM is one of the third-party service providers you have to be able to account for. Ask us and we will tell you what we do and where the build stands, in writing, so you can do your own diligence. We will notify you without undue delay if we become aware of a security incident affecting your data. Whether the law applies to your agency, and what it requires of you, is a question for your own compliance or legal adviser, not for us.

Children, links and changes

Children. This site and this product are for adults working in the insurance business. We do not knowingly collect information from anyone under 18.

Third-party links. This site and the platform may link to other websites. We are not responsible for their privacy practices. Please read their policies.

Changes. We may update this Policy from time to time. When we do, we will change the effective date above and post the updated Policy here. If a change materially affects how we handle your information, we will tell account holders before it takes effect.
